Vital Signing, Inc. Procedures
Thank you for taking the time to review our procedures. We want to make sure we provide the best service to our clients and we also want to ensure the interests of every notary we use are protected. To accomplish these things we have very clear procedures in place so the client knows the level of service he/she will be provided with and the notary is never unsure of how we operate and what we expect.

The new office hours for Vital Signing, Inc.® are 5:00AM to 8:00PM PST and the office phone number is (951) 343-3131. After-hours you can reach the On-Call Manager at (909) 851-1119. |

When you accept a job, Vital Signing, Inc.® sends a work order confirmation via fax or e-mail. It is your responsibility to contact us if you do not receive the confirmation with the closing information. It is also your responsibility to read the notes section of the work order for special instructions. The instructions will inform you how many e-mails you will receive as well as your listed fee. If there is any discrepancy in your fee, you need to address it at this time. Make sure you have all the docs before you go to the appointment, including a complete set to leave with the borrowers and a copy of the Borrowers' Certification of Notary Duties for the borrower to sign. |

You are required to call the borrower as soon as you receive your work order confirmation to confirm the appointment time, location, get directions (if needed) and to inform the borrower of any witness requirements, if applicable. This is also a good time to advise them that they will need a valid ID at the time of signing. You cannot go to an appointment until you have spoken to the borrower to confirm the time unless instructed by Vital Signing, Inc.®. Keep Vital Signing, Inc.® informed at all times of the signing status and of any changes in the appointment time. Please understand that neither you nor the borrower can change appointment time without calling us for lender approval. If there are any special concerns or requests made by the borrower, if you are having trouble printing documents or if there is conflicting information you need to contact Vital Signing, Inc.® immediately. |

We should not have to chase you for status. You need to call us when documents are received, when you set an appointment time and IMMEDIATELY after docs are signed. Please e-mail status for signing times and docs received to confirm@VitalSigning.com only. Do not e-mail status to any Vital Signing, Inc.® employee, as they may be out of the office or otherwise unable to check their e-mail. Only e-mail for signing times and docs received. We need you to call in signing completions from the borrower's house or on the way out, at which time we will also need the return tracking number. NEVER E-MAIL, FAX OR LEAVE A VOICE MAIL TO LET US KNOW BORROWERS DID NOT SIGN. If you call someone's extension and they are not there push 5 for the next available agent. If it is after 8:00PM PST, call our office and push 5 or call the after-hours number noted above. You must speak with a representative from Vital Signing, Inc.® before leaving a no-sign to ensure payment.

If the borrower has questions that must be addressed immediately, DO NOT CALL THE LENDER DIRECTLY, call Vital Signing, Inc.® and we will contact the appropriate person. If the borrower has called their agent directly you still need to call us so we can document the situation. This is for your protection. Vital Signing, Inc.® needs to bear witness to all conversations among client, notary and borrower. A notary may say that he or she was instructed to do something by the lender or the client may state that the notary promised to do something for him or her-please understand that if these conversations are not documented through Vital Signing, Inc.®, it comes down to "he said, she said" and we cannot be of adequate service to either party.

If the borrower refuses to sign, you need to call Vital Signing, Inc.® DURING THE SIGNING, not after you have left. We have an obligation to our clients (lenders, title companies, etc.) to give them a chance to address the borrowers' concerns during the signing. If the borrowers refuse to sign and you leave the signing without speaking to a Vital Signing, Inc.® representative, then you have not performed your due diligence to the client or borrower and you will not be compensated for the appointment. If the borrower refuses to sign and you have followed the appropriate steps you will receive a no-sign fee equal to 50% of your total original fee. Please note that regardless of whether a borrower signs the loan docs they still MUST sign the Borrowers' Certification of Notary Duties document. Failure to submit a copy of this document will result in the fee deduction mentioned in item 09 of these procedures.

Do not include your invoice with the loan documents. Remember, the lender does not pay you, Vital Signing, Inc.® does. Also: do not ship the Borrowers' Certification of Notary Duties to the lender; this document is for your protection. Fax us a copy along with other documents on the QC Check List and keep the original in your records. |

Please pay close attention to detail and accuracy. Before you leave the signing double- and triple-check the documents to ensure all pages are signed exactly as the borrowers' names appear, initialed where indicated, dated and notarized where applicable. Notary sections should be entirely complete including the following information: date, venue, notary seal (ensure it is legible, complete and not over any words or signatures), notary signature and acknowledgement of borrower as his or her name appears (including middle initials and suffixes, e.g. Jr., Sr., III). Refer to the RTC calendar for appropriate dates or call Vital Signing, Inc.® if you are unsure of the correct date to enter on the RTC. MAKE SURE DATES ARE FILLED IN ON ALL BORROWER COPIES OF THE RTC AS WELL. |

After a signing, fax the key documents listed on the QUALITY CONTROL CHECK LIST cover sheet that comes with your work order to (951) 300-2208. The QUALITY CONTROL CHECK LIST cover sheet needs to be complete and include the return tracking number, borrowers' names, work order number and the date of the signing. This is an essential step. Your pay will be reduced by $20 if you fail to fax your documents. If you do not hear from us within a reasonable time frame go ahead and ship the documents before the cut-off time. DO NOT HOLD DOCS UNTIL THE NEXT DAY. You will not be paid if you hold the documents.

Return the documents in the enclosed return envelope immediately for next day delivery unless otherwise instructed. If there is not a return envelope enclosed please refer to your work order under the DOCUMENT ROUTING section for return address and overnight service account number or call Vital Signing, Inc.® for instruction. When filling out the air bill, be sure to mark "bill receiver" and input the account number provided. All packages must be sent priority overnight, next day air, to be delivered by 10:30AM. Vital Signing, Inc.® will not reimburse you for any shipping charges incurred due to an incorrectly filled air bill. Please make sure you give us the return tracking number. NEVER RETURN DOCUMENTS TO ANY ADDRESS OTHER THAN THE ONE LISTED ON YOUR WORK ORDER WITHOUT PERMISSION, EVEN IF THERE IS CONTRADICTORY INFORMATION IN YOUR DOCUMENTS. If the borrower did not sign we still need you to ship the docs back and provide us with a tracking number.

All signings done past the cut-off on Friday or Saturday must go out Saturday for a Monday delivery. Call FedEx (1-800-GOFEDEX) or UPS (1-800-PICKUPS) and schedule a pick-up from your home or ask them to direct you to a manned Saturday pick-up location in your area. Don't assume that because the borrower has a rescission period that it does not matter if docs are not back for a day or two. There is a lot of work that needs to be done before the lender funds and many lenders lose partial commission if not funded in a certain time frame. If these procedures are not followed and documents are held you will lose your compensation. |

Remember that you represent Vital Signing, Inc.® as well as the lender and you should always handle yourself in the utmost professional manner with all parties involved. As a "Notary Signing Agent" you are NOT allowed to discuss your opinion in relation to the content of the documents nor explain any details of the loan. You should refer all questions to Vital Signing, Inc.® so we can direct them to the appropriate contact. |

Do not correct, modify or alter the documents in any way without approval from Vital Signing, Inc.®. Procedures vary by lender, so please call us for instruction on how to proceed. This includes the date on the documents, which should not be altered unless previously approved. Usually the date printed on the documents is just a print date and the date the borrower signs as well as the date you notarize will show the signing date. Do not use white out or highlighter on the documents as this can, and often does, invalidate the whole loan. |

Fees are agreed upon when you accept a signing and they will not be increased unless the borrower changes the signing address and the travel distance is greatly increased. Your fee will be decreased by 50% of the total original fee in the case of a no-sign. We do not pay additional for holidays, last-minute signings, being bilingual, for cancellations prior to the printing docs or for cancellations that occur before a notary goes to an appointment. In addition, we do not pay for road tolls, parking fees, cell phone expenses, public transportation fares, fax fees, etc. As a signing agent these are expenses that you will incur and it is up to you to budget for these expenses. Our Accounting department will only pay you as indicated on your work order, so please verify that it is correct prior to the signing. All fees must be approved by Vital Signing, Inc.®. You are not allowed to negotiate fees directly with the lender/client. Any such fee arrangement will not be honored by Vital Signing, Inc.®. Should the lender/client contact you, please instruct them to contact Vital Signing, Inc.®.

I authorize Vital Signing, Inc.® to send me SMS (simple message service) text messages. I understand that while I will be sent messages of a business nature (such as signing offers and status inquiries), the messages will not be spam messages. I understand that this program is in place to simplify order placing and status. I understand also that I will incur the cost of the service, if any, depending on my service provider and plan. Furthermore, I know that I may opt out of this program at any time by sending an e-mail to Confirm@VitalSigning.com or by mailing my opt-out request to Vital Signing Inc.®. I am aware that Vital Signing, Inc.® will use notaries who agree to accept SMS before they use those who do not. Whereas agreeing to accept SMS does not guarantee that I will receive more work, I do know that opting out of this program may limit the amount of work I receive and that it may also make me ineligible for future options.
